Changing a Class Name
The first thing to note is that each Class has 2 names:
-- the Scheduling Name (eg: "7A" or "7ABCD") - this is important as it describes how this Class fits into the curriculum / interacts or overlaps with other Classes. So you can't just change this (or if you do, you will change your curriculum)
-- the Printing Name (eg: "Year 7") - this can be anything you want (including being blank); it appears on printouts for your colleagues, so should be something they and you recognise. You can change this at any time.
Example - 1
Eg 1. Simple change: I want to change 8A to 8R.
How to do it: After editing that class on the 'Basic Data -> Classes' screen, you then need to change all instances of 8A in your batches, to 8R ... to do this, use the 'Update Batches globally' feature. For details, see section D17 in the printed manual.
Example - 2
Eg 2. Swap of class names: Although my timetable is done and in use, there has had to be a change and consequently I have to change two Form Groups in Year 7, so that 7A becomes 7B and 7B becomes 7A. Is there a way to do this?
How to do it: There are two possible ways. Please look at the examples below and decide the best way for you.
First make sure that you make both an internal backup (in the AutoBackup Library) and an external backup (eg: on a USB memory-stick). Then choose one of these methods:
Method 1:
To swap over 7A and 7B on a completed schedule, you can go to the Classes Screen (section C6 in your Manual) and give Class 7A a Printing Name of 7B, and give Class 7B a Printing Name of 7A.
The result will be that:
--On the Class Timetable Screen (section F15) there is no change, but
--On the 'master' Class Timetable Printout (section J15) the order of the classes is unchanged, but 7A now has the timetable that used to belong to 7B, and vice-versa.
Method 2:
To swap over 7A and 7B on a completed schedule, you can go to the Classes Screen (section C6 in your Manual) and:
-change the Scheduling Name of 7A to 7z [a temporary name],
-change the Scheduling Name of 7B to 7A,
-change the Scheduling Name of 7z to 7B
clicking on Apply in each case.
The result will be that:
--On the Class Timetable Screen (section F15) and
--On the 'master' Class Timetable Printout (section J15),
7A now has the timetable that used to belong to 7B, and vice-versa.
Note: Method 2 only changes the labels on the final completed timetable. It does not change the classes in the Activities in your Batches.
So if you later wish to Unassign a lesson from this schedule, or make any other changes to your schedule during the course of the school year, you may find difficulties because the Activities in the Batches are no longer aligned with the Schedule.
To correct this you can change the Class Names in all the Batches by going to Activities -> Update Batches Globally -> Change Class Scheduling Name.
This method is described in the HelpMovie called 'Updating a Batch Globally'.
Example - 3
Eg 3. I want to change 9ABCD's Printing Name from 'Yr-9' to "9-Band-A".
How to do it: Just go to the 'Basic Data -> Classes' screen, and edit the printing name.
