You can change a Teacher's Full Name, on the Teachers Screen [section C5 in your Manual or HelpMovie 14] at any time, but changing a Teacher's Initials (Staff Code) needs more care.
The initials (Staff Code) is what is used during the export to your MIS.
There are typically three possible reasons for wanting to change a teacher's initials:
1 If teacher AA has left and been replaced by BB (or AA was just a dummy/place-marker until the school hired BB) ... so all AA's lessons are now to be taught by BB ... then you need to do 2 things:
a) Change AA to BB in the Teachers List on the Teachers Screen (section C5 in your Manual).
b) Then use the feature "Activities -> Update your Batches Globally -> Update a Teacher's Initials" to change the teacher initials from AA to BB, in all the batches. See HelpMovie 26.
2 If teacher AA has left and his/her lessons are now being taught by a variety of existing or new teachers, then it is better to leave AA in the teachers list, add any new staff to the end of the list, then make the changes individually by editing the lesson details on the schedule.
If you give AA a "printing name" of *D (meaning "Dummy/Don't print") then AA will not appear on any printouts that your colleagues see, and nor will he be exported to your MIS.
3 If you just want to swap 2 teachers' (ABC and DEF) timetables over completely, then you could just rename ABC as XXX in your 'Basic Data -> Teachers' ... then rename DEF as ABC, then rename XXX as DEF. ABC will then have DEF's timetable and vice versa. You may get some warnings about teachers in the Batch being different from on the Schedule (when you exit the Batch) - but if you do, you can ignore them. Or you can stop these messages by editing ABC's and DEF's activities in your Batches.
Notes:
-- i) If you have existing Batches, then after changing a teacher's initials you will also want to change the initials in the Batches. See HelpMovie number 26, titled "Updating a Batch globally".
You may also find HelpMovie number 8 useful : "Tidying-up last year's data, ready to do a New Schedule".
[If you haven't used the HelpMovies before, then go to "Help -> HelpMovies"].
-- ii) It is recommended that you don't delete any existing teachers, rooms, subjects or classes ... because although in theory you can delete any of these, in practice there may be some part of the curriculum or schedule that is relying on them. So if you don't need one any more, still leave it in the list, but just don't use it.
Any new items should be added to the end of the list.
-- iii) Before making any fundamental change to your data (as in changing a teacher's initials) please take a Backup of your data first, so that you can go back if you need/want to.
See HelpMovie number 9 for how to do this.
