Longer Room Names

Longer Room Names

>    Overview
Room Names are (up to) 5 characters, and fit nicely into printouts and screens.
However, should you need to, then as well as the (up to 5 chars, unique) Room Name, you can also enter a longer (up to 12 chars) Long Room Name, and have this longer name displayed on many of the screens and printouts.
(Note that the shorter name still needs to be unique).

>    How to enable the feature, and enter the longer room names
Go to “Basic Data -> Rooms”, click on “Rooming Overview” (button at bottom) and tick “Use longer room names”.  Then Close to return to the list of rooms.
You should now see that a box for “Long name” appears.  Enter or edit your rooms in the usual way, entering your long names in this box.

>    Screens & Printouts affected
The following screens & printouts will then use the longer room names, rather than the shorter ones:

Note-1: for the timetable printouts, the first time you print, you will need to click on “Advanced” (bottom-left of each printing screen) and then change “Max length: Room” from 5 to 12 and click ‘Apply’.  This setting will be remembered thereafter.

General note : if you don’t enter a long name for any room, then its shorter name will be shown instead.

>    Exporting to your MIS / Admin System
Note that if (at the end of scheduling) you wish to export these longer room names to your MIS, then at Step 3 of the export, click on ‘Prepare your data’ then on ‘Rooms’, and un-tick ‘Yes, room codes are the same in both systems’.
