How can I add Labels to my timetable? (eg: PPA)

How can I add Labels to my Schedule ?
There are at least 9 different ways to add Labels to your timetable printouts:

 1.   Set Labels
For example, Maths 'Sets' can be shown on the Printouts in the following styles:
   Maths 1             Maths set1
   Maths A             Maths setA
   Maths a             Maths seta
   Maths 1p1        Maths set 1p1

To choose between numbers or letters (1, or A, or a, etc) see Customize -> Set Labels.
The default is a number, but you can also enter freeform labels (eg. 1p1, 1p2, etc).
You can choose from these 'families' of labels, on the Customize Menu.

There are 2 ways to specify the actual label :

-- a) You can 'pre-specify' the Set label for each teacher as you are entering the activities into Batches, by using the Lesson Details button on the List of Activities Screen (see section D6 in your Manual).
and/or
-- b) You can 'post-specify' the Set label using the Edit Details button (see section F14) on either the Staff Timetable Screen (F12) or the Class Timetable Screen (F15).

Then you can choose the style for the printout on the Advanced Printing Options Screen (see J8, J9).
Choose:
either         to print just the label (eg. 'Maths 1')
or                 to print the word 'Set' in full (eg. 'Maths set1' )

(Alternatively you could specify separate subjects 'Maths 1', 'Maths 2', etc., on the Subjects Screen.)


 2.   Staff Timetable Labels (PPA, etc)

On the Staff Timetable Screen (section F12) click "Staff Labels" (at the top) and use the palette that appears.

You have up to 31 (re-usable) Labels to choose from.  By default they are 'PPA', 'Meeting', 'Support', 'SLG', 'SMT', 'PrepSup', 'PlayGrd', but you can edit them to suit your school at Customize -> Staff Timetable Labels.

You can add them manually (by clicking in periods) ... or you can assign your labels automatically.

Note: an alternative to Staff Labels, which may be better in certain circumstances, is to use 'Special Locations', which you schedule like normal lessons.  If in doubt, please ask.


 3.   Class Timetable Labels

You can add Class Labels by right-clicking on the Class Timetable Screen.
You can have up to 31 different labels, each of up to 24 characters.   By default the choice is from 'Lunch', 'Break', 'Registration', 'Chapel', 'Prep', 'Clubs', 'HomeworkHour', '1stLUNCH', '2nd LUNCH', but you can edit them at Customize -> Class Timetable labels.

Like the Staff Labels they can only be added to empty, no-lesson periods.


 4.   Block Labels

On the Activities Screen (sections D4, D6), and on the Edit Details Screen (F14) you can enter a Block Label to any of your blocks.

Then you can choose the style for the printout on the Advanced Printing Options Screen (see J8, J9).
Choose:
either        to print just the label (eg. 'A')
or            B     to print the word 'Block' in full (eg.  'Block A' )


 5.    To change the Year Labels [eg. from 'Year 7' to 'Grade 7', or 'S1', or 'Lower Sixth'], see the separate article in this KnowledgeBase ...just type 'Year Label' into the Search Box.


 6.    To add or edit the Period-Numbers, see section J3 in your Manual.


 7.    To add a label saying DRAFT on your timetable printouts, go to the Advanced Printing Screen (section J8).

Notes:
-- Time spent on PPA, etc:  on the 'Check & Tidy' menu: the 'Staff Hours Report' tells you how much time each teacher spends on each type of activity (including PPA) during the week / cycle,
... and the "Review PPA Totals" report shows how each teacher's PPA is spread through the week.
... and "Print -> Non-teaching timetables" gives you a timetable of just your labels and other non-teaching activities, for checking.
