On occasion, you may wish / need to edit the Cover Statistics in StaffCover:
Q1 . My statistics for yesterday, don't seem to have been saved. Why is this ?
A. The most common causes of this are:
i) Leaving StaffCover running overnight ... ie: not closing StaffCover yesterday, then re-opening it today.
So the first thing to check is - do you always restart StaffCover each morning, before you calculate cover for the new day ? You do need to restart StaffCover each morning - it then knows that you are officially starting a "new day" and saves the previous day's statistics.
ii) The date on your computer being reset or changed in some way
iii) calculating yesterday's cover while in "Look-ahead" mode. "Look-ahead" mode is only for seeing what the cover might be in a future date, and (optionally) pre-booking that cover in advance. But any cover calculations you do while in "Look-ahead" mode are not saved.
If you do lose some of your statistics, or forget to enter a cover, then the following may help:
Q2 . Is there a way to enter data for Cover done on a day which has passed?
I didn't enter (or missed) some covers earlier this term ... can I enter these now, retrospectively ? ... so I have an accurate record of the statistics.
A. To update each Teacher's overall Stats, go to the Teacher Details Screen [see sections J2 - J4 in the Handbook] and make your corrections there. The daily cover calculations will then be working off the correct figures.
If you have the time, you may also want to go to "Statistics -> Absence Statistics ->Teacher Absence Records", highlight the teacher who was absent, click "Edit details", and add their absence into these detailed stats.
Q3 . A colleague asked for Cover but consequently does not need it. Can I remove the Cover from the system after the event?
For example, a colleague rings in ill but then arrives in school and I am unable to remove the Cover on the day that the Cover is for, as I am away from the computer doing other things.
Can I look back over previous dates and remove that Cover from the system so that the Cover Statistics are accurate?
A. Yes, you can go to "Customize ->Teacher Details" and edit the figures for the relevant teachers.
You would probably also want to go to "Statistics -> Absence Statistics ->Teacher Absence Records", highlight the teacher who was absent and click "Edit details". Select the absence to delete, then click "Delete".
Q4 . Can I reset each teacher's 'cover done so far this week' to zero ?
A. Yes, you can do this by going to ‘Customize -> Weekly or Yearly cover limits -> Start a New week”.
Note: In all the scenarios above, before making major changes to the statistics, please take a Backup of your data (at File -> SC-Backup) so you can go back if you wish/need to.
